Privacy policy

What data we collect, why, for how long — and how to exercise your rights.

In brief

This website sets no advertising cookies and carries out no profiling. It uses an analytics tool (Google Analytics), which is loaded only after your explicit consent: until you accept, no data is sent to Google and no analytics cookie is set. You may decline, and change your mind at any time via the "Cookies" link in the footer. Your data is never sold or passed on to third parties.

The fonts are hosted on our own server and the venue map is provided by OpenStreetMap: neither stores anything, and both work without your consent, because they do not track you.

Data collected

We only collect the data you choose to send us through the forms on this website.

Contact form

Data: name, email address, subject, message.
Purpose: to answer your enquiry.
Legal basis: your consent.
Retention: 12 months after the last exchange, then deletion.

Submission form (call for papers)

Data: first name, surname, email address, institution, type and thematic area of the contribution, title, abstract, any video link, and attached documents.
Purpose: to process your proposal, allow the scientific committee to review it, and notify you of the decision.
Legal basis: your consent.
Retention: up to 24 months after the symposium (scientific archiving of the edition), then deletion.
Recipients: the AREBio organising team and the members of the scientific committee responsible for the review.

The emails generated by these forms (the acknowledgement sent to you and the internal notification to the team) are delivered by our processor Brevo (Sendinblue SAS, a French company — data hosted in the European Union), for the sole purpose of sending them. They are not used for any commercial or marketing purpose.

Analytics

Google Analytics — subject to your consent

Purpose: to count visits and understand which pages are viewed, in order to improve the website.
Legal basis: your consent (article 82 of the French Data Protection Act). Nothing is loaded until you have accepted: the analytics script is not present in the page; it is added only when you click "Accept".
Recipient: Google Ireland Limited, joint controller for the European Economic Area. Data may be transferred to the United States under the EU-US Data Privacy Framework, to which Google LLC is certified.
Cookies set (after consent): _ga and _ga_<identifier> — they assign a random identifier to your browser in order to tell visits apart. Lifetime: 13 months maximum.
If you decline: nothing is stored, nothing is sent, and the website works exactly the same.

You can change your mind at any time via the "Cookies" link in the footer. Withdrawing your consent stops the analytics immediately and deletes any cookies already set.

Strictly necessary cookies

These do not require your consent (article 82 of the French Data Protection Act): without them the website cannot work, and they are not used to track you.

  • PHP session cookie — protects the forms against automated submissions and request forgery. Expires when the browser is closed.
  • Theme preference — remembers your display choice (light or dark). Stored locally, never sent to the server.
  • Consent choice — remembers your answer to the banner, so you are not asked again on every page. Stored locally, never sent to the server.
  • Preview cookie — present only for the project team, on pages not yet open to the public. Lifetime: 30 days.

No advertising or social-network cookies are set.

Security

The website is served exclusively over HTTPS. Forms are protected by an anti-forgery token and an anti-bot mechanism. Uploaded files are checked (actual type, size), renamed and stored in a directory that is not publicly accessible.

Hosting

The website and its data are hosted by OVH SAS (2 rue Kellermann, 59100 Roubaix, France), on servers located in the European Union.

Your rights

Under the General Data Protection Regulation (GDPR) and the French Data Protection Act, you have the right to access, rectify, erase, restrict, object to the processing of, and port your data.

To exercise them, write to cib5@arebio-martinique.com. You will receive a reply within one month.

You may also lodge a complaint with the French data protection authority, the CNIL (opens in a new window) — 3 place de Fontenoy, TSA 80715, 75334 Paris Cedex 07.

To be confirmed by AREBio. The retention periods and recipients above are proposals consistent with the practice of a scientific symposium: they must be confirmed by the association, which is the data controller. They must also be reviewed if an emailing tool (Brevo), a ticketing platform (HelloAsso) or a streaming service is connected — each would add a recipient and, where applicable, trackers subject to consent.

Google Analytics — two points for AREBio to decide:

  • The data retention period must be set in the GA interface (Admin → Data retention). The maximum recommended by the CNIL is 13 months; GA offers 2 months or 14 months by default depending on the property. The page above states 13 months: that figure must match the actual setting.
  • Analytics uses the property of AREBio's main website (G-0SPMDV20LZ, found on arebio-martinique.com). Symposium traffic will therefore be mixed in with it. To track CIB-5 separately, either segment by hostname or create a dedicated data stream — in which case the identifier will change and must be updated in GA_ID (config.php).
